Cold Email Template for New Carriers: Reply handling scripts

Whenever a reply lands. Goal: Turn 'not right now' into a dated next step.

This is the exact wording, the subject lines that go with it, and the reasoning behind each line. Swap the merge fields, keep the structure.

Subject lines

Short, lowercase where natural, and never salesy. On a thread after the first touch, keep the original subject with "re:" so the conversation stays in one place.

  • re: your note

The template

Interested → "Great — does Thursday 2pm or Friday 10am work? Ten minutes, no deck."

Not right now → "Totally fair. I'll check back in 30 days. Anything change before then, just reply here."

Send me info → "Here's the short version: {one_sentence_offer}. If that lands, I'll send specifics for your lanes."

Not interested / stop → suppress immediately, no last-ditch pitch.

Why it works

  • Every reply gets a dated next step or a permanent suppression — nothing sits in limbo.
  • Two concrete time options beat 'let me know what works'.
  • Honoring an opt-out instantly is both compliant and reputation protection for your domain.

Merge fields to fill

Everything in braces should come from the carrier's record, not a guess. If you cannot fill a field with something true, delete the sentence rather than shipping a generic version of it.

  • {first_name} — owner name from the authority record
  • {company} — legal or DBA name
  • {city} — registered home base
  • {authority_date} — the date the MC went active
  • {equipment} — dry van, reefer, flatbed, power only
  • {lane} and {rate} — a real lane and a real recent number

Sending it without doing it by hand

CarrierLeads fills these fields from the FMCSA record, writes a personalized opening line per carrier, and sends the whole five-step sequence from your own Gmail on days 0, 3, 6, 9 and 13 — pausing the moment someone replies.

Frequently asked questions

How long should a cold email to a new carrier be?
Under ninety words. Owner-operators read on a phone between loads; anything longer gets archived unread.
Should I include a calendar link in the first email?
No. Links depress deliverability on cold threads and asking for a booked meeting on touch one is too big a first step. Ask a question instead.
How many follow-ups is too many?
Five touches inside thirteen days is the sweet spot for new authorities. After that you are outside the decision window anyway.
Can I send these by text instead?
Not to cold numbers. Unsolicited marketing texts to numbers pulled from public filings create TCPA exposure. Email first, phone after they reply.
